ACQ London – Payment Terms
This Payment Terms Policy sets out the conditions under which tuition fees and other charges must be paid to ACQ London. Clear and transparent payment arrangements are essential to ensure smooth enrolment, continued access to learning, and fairness to all students. By enrolling on a course, you agree to comply with these Payment Terms in full.
1. Purpose & Scope
1.1 This policy outlines the payment terms and conditions for tuition fees, registration fees, and any other charges associated with studying at ACQ London.
1.2 It applies to all students enrolling directly with ACQ London or through approved partner institutions (UK, Sri Lanka, Canada).
1.3 The policy ensures transparency, fairness, and compliance with UK consumer law, including the Consumer Rights Act 2015 and the Consumer Contracts Regulations 2013.
2. Tuition Fees & Charges
2.1 Tuition fees for each programme are published on ACQ London's website or communicated directly by the Admissions Team.
2.2 Fees may include:
- Tuition fees (course instruction and LMS access)
- Registration or application fee (non-refundable unless otherwise stated)
- Awarding body fees (where applicable, e.g., OTHM, Qualifi, etc.)
- Examination, assessment, or resit fees (if applicable)
- Administrative fees (e.g., replacement certificates, transcript copies, courier fees)
2.3 ACQ reserves the right to review and update fees annually.
3. Payment Options
3.1 Full Payment – Students may pay the full course fee upfront prior to the course start.
3.2 Instalment Plan – Where available, students may spread payments across instalments (schedule provided at admission stage). Instalment options are subject to eligibility and must be agreed in writing.
3.3 Sponsorship / Employer Funding – Students sponsored by employers or other organisations must provide official confirmation of sponsorship. Responsibility for unpaid fees remains with the student.
4. Payment Methods
- Bank transfer (GBP account details provided at admission)
- Online card payment (Visa, Mastercard, etc., subject to availability)
- Payment through authorised partner institutions (for Sri Lanka and Canada enrolments)
- Other secure payment gateways as made available by ACQ
- All payments must reference the student's full name and student ID for allocation
5. Payment Deadlines
5.1 Full payment (or first instalment) must be made before course commencement unless otherwise agreed.
5.2 Subsequent instalments must be paid by the due dates stated in the payment schedule.
5.3 Students who fail to meet payment deadlines may have their:
- LMS access suspended
- Assessments withheld
- Certificates withheld until payment is cleared
6. Refunds & Cancellations
6.1 ACQ London complies with the 14-day cooling-off period under UK consumer regulations:
- Students may cancel within 14 days of payment for a full refund if no course materials have been accessed
- If materials are accessed, a deduction may be made for proportionate use and administrative costs
6.2 After 14 days, fees are non-refundable, except in exceptional circumstances considered on a case-by-case basis.
6.3 Refunds will be processed within 30 days using the original payment method.
6.4 Registration/application fees are non-refundable.
7. Late Payments
7.1 Late payments may incur:
- An administrative charge (reasonable cost recovery), and/or
- Suspension of access to learning resources
7.2 If instalments remain unpaid after written reminders, the student's enrolment may be terminated.
8. Financial Holds
8.1 ACQ London reserves the right to:
- Withhold exam results, transcripts, and certificates
- Refuse enrolment in future courses
until outstanding balances are cleared.
9. Currency & International Payments
9.1 Fees are payable in GBP (£) unless otherwise specified.
9.2 International students paying in other currencies are responsible for any exchange rate differences, bank charges, or transfer fees.
9.3 For students enrolling via partner institutions abroad, fees may be collected locally in agreed currency and remitted to ACQ London.
10. Scholarships & Discounts
10.1 Scholarships, bursaries, or discounts may be offered at ACQ London's discretion.
10.2 Conditions (e.g., academic performance, attendance) will apply. Breach of conditions may result in the withdrawal of the discount and liability for full fees.
11. Dispute Resolution
11.1 Students may raise disputes regarding fees or charges in writing to the Finance Office within 10 working days of the invoice.
11.2 Disputes will be resolved in accordance with ACQ London's Complaints & Dispute Resolution Policy.
12. Governing Law
12.1 This Payment Terms Policy is governed by the laws of England and Wales.
