ACQ London – Refund Policy
At ACQ London, we aim to deliver high-quality education and student satisfaction. We understand that in some cases students may need to withdraw from a course or request a refund. This Refund Policy outlines the conditions under which refunds are available, ensuring clarity and fairness for both students and the institution.
1. Purpose & Scope
1.1 This policy sets out the principles under which tuition fees and other charges may be refunded to students of ACQ London.
1.2 It applies to all students, whether enrolled directly with ACQ London or through authorised partner institutions (UK, Sri Lanka, Canada).
1.3 The policy complies with the Consumer Contracts Regulations 2013 and the Consumer Rights Act 2015.
2. General Principles
2.1 Refunds are considered only where students have met their obligations and where a valid request is submitted.
2.2 Refunds will be processed in the same method and currency as the original payment.
2.3 Administrative or registration fees are non-refundable unless otherwise stated.
2.4 Refunds are made to the original payer (student, sponsor, or employer) unless written consent is provided.
3. Cooling-Off Period
3.1 Students who enrol online or at a distance are entitled to a 14-day cooling-off period from the date of payment.
3.2 A full refund will be issued if:
- The student cancels within 14 days and has not accessed course materials.
3.3 If course materials have been accessed within the 14 days, a proportionate deduction may be applied to cover administrative and delivery costs.
4. Refunds After Cooling-Off Period
4.1 After the 14-day period, tuition fees are non-refundable, except in exceptional circumstances (see Section 6).
4.2 Students who withdraw after commencing their course are not normally eligible for a refund.
5. Instalment Payments
5.1 If a student withdraws after the cooling-off period:
- Future instalments remain payable in full.
- Any outstanding balance must be settled, unless an approved withdrawal agreement is reached.
6. Exceptional Circumstances
6.1 ACQ London may consider partial refunds on a case-by-case basis in exceptional circumstances, such as:
- Serious illness or disability preventing continuation of study (medical evidence required).
- Visa refusal for international students (official refusal letter required).
- Course cancellation by ACQ London.
6.2 Evidence must be submitted in writing within 30 days of the event.
6.3 Decisions on exceptional refunds rest with ACQ London's Finance and Academic Committees.
7. Course Cancellation by ACQ London
7.1 If ACQ cancels a course before commencement, students are entitled to a full refund of fees paid.
7.2 If ACQ cancels a course after commencement, a proportionate refund will be made for the unused portion of tuition fees.
7.3 ACQ London is not responsible for consequential losses (e.g., travel, accommodation, visa costs).
8. Refund Requests & Processing
8.1 Refund requests must be submitted in writing to the Finance Office at finance@acqlondon.co.uk
8.2 Requests must include:
- Student name, ID, course, proof of payment.
- Reason for request and supporting documents.
8.3 Refunds will be processed within 30 days of approval.
9. Non-Refundable Items
9.1 The following are non-refundable:
- Registration/application fees
- Administration charges
- Examination or awarding body fees (once paid to an external body)
- Courier or postage fees
- Replacement certificate or transcript fees
10. Disputes
10.1 Students may appeal a refund decision through the ACQ London Complaints & Dispute Resolution Policy.
10.2 ACQ will respond within 28 days of receiving a formal complaint.
11. Governing Law
11.1 This Refund Policy is governed by the laws of England and Wales.
